1. Who we are

RoadRail Design is a trade name of NRDMG Yapı Sistemleri A.Ş., Fenerbahçe Mah. İğrip Sk. No:13 İç Kapı No:1, Kadıköy / İstanbul, Türkiye (“we”, “us”). We are the data controller for personal data processed through this website and in our business correspondence. Contact: info@roadraildesign.com. 2. What this notice covers

This is a business-to-business website. It explains how we handle personal data of people who contact us, of contacts at engineering firms we work with or approach, and of visitors to this site. We process data under the EU and UK General Data Protection Regulation (GDPR / UK GDPR) and the Turkish Personal Data Protection Law No. 6698 (KVKK).

3. Data we process

• Enquiries: name, company, business email, market, service and message you send us. The contact form does not submit data to our server; it opens your own email app with a pre-filled message, so we receive it only as an email.
• Business contacts: name, job title, company, business email and phone of contacts at engineering consultancies and contractors, taken from public company websites and professional directories or provided by you.
• Correspondence and project data: emails, proposals, contracts and project documents exchanged with you.
• Technical data: our hosting provider records standard server logs (IP address, browser type, page requested, time) for security and operation.

4. Purposes and legal bases

• Answering enquiries and preparing proposals – steps prior to a contract (GDPR Art. 6(1)(b); KVKK Art. 5(2)(c)).
• Performing and administering contracts, invoicing and accounting – contract and legal obligation (Art. 6(1)(b),(c); KVKK Art. 5(2)(c),(ç)).
• Introducing our services to engineering firms by business email – our legitimate interest in B2B marketing (Art. 6(1)(f); KVKK Art. 5(2)(f)). Every such email offers a simple way to opt out, and we stop on request.
• Website security and operation – legitimate interest (Art. 6(1)(f); KVKK Art. 5(2)(f)).

5. Sharing and international transfers

We do not sell personal data. We share it only with service providers acting on our behalf (website and email hosting, cloud storage and office software), with our US representative office Nordic and Norden LLC where needed for US enquiries, and with authorities where the law requires. Some providers process data outside Türkiye, the UK or the EEA. Where this happens we rely on adequacy decisions, standard contractual clauses or, under KVKK Art. 9, the safeguards and notifications required by Turkish law.

6. Retention

Enquiries and prospect contact data are kept for up to 24 months after our last contact, unless a business relationship follows. Contract and accounting records are kept for the statutory periods (in Türkiye generally 10 years). Server logs are kept for a short period set by our host.

7. Your rights

You may ask for access to, correction or deletion of your data, restriction of processing, data portability, and object to processing based on legitimate interest – including direct marketing at any time. Under KVKK Art. 11 you also have the right to learn whether your data is processed, the purpose, the recipients and to claim compensation for unlawful processing. Write to info@roadraildesign.com; we answer within one month (KVKK: 30 days). You may also complain to your supervisory authority, for example the UK ICO, the Dutch Autoriteit Persoonsgegevens or the Turkish Personal Data Protection Authority (KVKK Kurumu).

8. Cookies and local storage

This site sets no cookies and uses no analytics, advertising or third-party tracking. It stores two small preference values in your browser's local storage – your chosen language and market – only to show the right page; they are not sent to us. You can clear them in your browser at any time.
